INTRODUCTION AND DEFINITIONS
These Terms and Conditions (“Terms”) govern participation in the Connect 2025 Conference (“the Conference”) organized by Simplify Healthcare.
For the purposes of these Terms:
- “Organizer(s)” refers to Simplify Healthcare, its employees, officers, affiliates, agents, contractors, and any parties acting on its behalf in organizing or hosting the Conference.
- “Attendee(s)” refers to any individual who registers for, attends, or participates in any capacity at the Conference, including sponsors, exhibitors, speakers, Simplify Healthcare employees, or guests.
- “Sponsor(s)” refers to any organization or individual that has purchased a sponsorship package or entered into a sponsorship/partnership agreement with the Organizers for participation in the Conference.
- “Venue” refers to the physical location of the Conference: Gaylord Opryland Resort & Convention Center, Nashville, TN.
- “Terms” include all sections, policies, and notices outlined in this document, which the Organizers may amend or update with reasonable notice.
By registering for or participating in the Conference, all Attendees acknowledge that they have read, understood, and agree to be bound by these Terms.
REGISTRATION
- Attendance at the Conference requires prior registration via the official registration portal at connect2025.simplifyhealthcare.com or by contacting the Organizers at connect2025@simplifyhealthcare.com.
- All registration information must be accurate and up to date.
- Attendance is limited to individuals who are eighteen (18) years of age or older at the time of the event. By registering, attendees confirm that they meet this requirement. The Organizers reserve the right to verify age and deny entry to individuals who do not comply.
- By registering, attendees agree to abide by these Terms, Conditions, and Guidelines.
CANCELLATION AND REFUND POLICY
- We advise all sponsors to contact us regarding the cancellation of their registration. Cancellation requests must be submitted by emailing the Organizers at connect2025@simplifyhealthcare.com.
- For sponsorship packages, we will offer a full refund of the package amount until July 18 (60 days prior to the event) and a 50% refund until August 17 (30 days prior to the event).
- Cancellation requests for passes submitted at least 15 days prior to the event will be fully refundable. For any request beyond the cancellation period, contact us at connect2025@simplifyhealthcare.com.
- Transaction fees will be charged at actual.
ADA (AMERICANS WITH DISABILITIES ACT) INFORMATION
Accessibility and Accommodation Requests
- The venue will be accessible to individuals with disabilities.
- Accessibility facilities such as ramps, elevators, and designated seating areas will be provided
.
- Attendees requiring reasonable accommodations under the Americans with Disabilities Act (ADA) should contact the Organizers at connect2025@simplifyhealthcare.com in advance.
- Requests for any accommodation should be submitted no later than Friday, August 29, 2025.
EVENT CODE OF CONDUCT
- All attendees are expected to conduct themselves in a professional and respectful manner. Harassment, discrimination, or disruptive behavior will not be tolerated.
- Any behavior that compromises the safety, comfort, or experience of other attendees may result in removal from the Conference at the Organizers’ discretion.
- Please contact the Organizer’s representative on-site if you witness or experience misconduct of any kind.
CONFIDENTIALITY/FUTURE PRODUCT DISCLAIMER
- During the Conference, attendees may be exposed to confidential and proprietary information regarding Simplify Healthcare’s software products, features, or technologies and those of its partners/customers.
- Attendees agree not to disclose, share, or publish confidential information without written consent from Simplify Healthcare.
- Attendees understand that unauthorized disclosure may result in legal action by Simplify Healthcare.
- Attendees understand that any information shared is for informational purposes only and does not constitute a commitment to deliver future functionality, features, products, or technologies.
USE OF ATTENDEE PHOTO/LIKENESS TERMS
- The Organizers may capture photographs and videos during the Conference for promotional and documentation purposes.
- By participating in the Conference, attendees grant the Organizers the right to use their likeness, including photographs, videos, and testimonials, for marketing and promotional activities related to the Conference or Simplify Healthcare’s products.
- The Organizers are not obligated to compensate attendees for using their likeness for marketing and promotional activities related to the Conference or Simplify Healthcare’s products.
EVENT WIRELESS SERVICE
Availability
- Wireless internet access will be provided to the attendees at the Venue during the Conference.
- The availability and quality of the wireless service may vary, and the Organizers cannot guarantee uninterrupted or error-free connectivity.
- The Organizers assume no responsibility for device security or data integrity during use of the event network.
Acceptable use
- Attendees must use the wireless service responsibly and in compliance with all applicable laws and regulations.
- Any misuse of the wireless service, including unauthorized access, hacking, or illegal activities, is strictly prohibited.
By attending the Conference, attendees acknowledge that they have read, understood, and agree to abide by these Terms, Conditions, and Guidelines. The Organizers reserve the right to amend or modify these terms as necessary and will notify attendees of any changes.
EVENT OF FORCE MAJEURE
For the purposes of these Terms and Conditions, an “Event of Force Majeure” shall mean any event or circumstance beyond the reasonable control of the Organizer that prevents or materially hinders the performance of its obligations. This includes, but is not limited to:
- Acts of God (including natural disasters such as floods, earthquakes, hurricanes, or storms)
- War, terrorism, civil unrest, or riots
- Governmental actions or restrictions, including those arising from public health emergencies, epidemics, or pandemics
- Labor disputes, strikes, lockouts, or other industrial disturbances
- Failure or disruption of utilities or communication networks
- Fire, explosion, or other damage to facilities
In the event that either the Organizer or the attendee is unable to perform any obligation under these Terms due to an Event of Force Majeure, that obligation shall be suspended for the duration of the event, provided that:
- Written notice is given to the other party as soon as reasonably practicable, specifying the nature and expected duration of the event; and
- The affected party takes reasonable steps to mitigate the impact and resume performance as soon as feasible.
If the Event of Force Majeure continues for a period exceeding thirty (30) days, either party shall have the right to terminate their obligations under these Terms by providing written notice to the other party. In such cases, the Organizer will assess refund eligibility or alternative remedies on a case-by-case basis.
LIABILITY RELEASE AND HEALTH TERMS
Assumption of Risk
By registering for and attending the Conference, attendees voluntarily acknowledge and accept all risks associated with participating in an in-person event. These risks include, but are not limited to, exposure to communicable diseases such as COVID-19, personal injury, property loss, or other potential hazards related to travel or large gatherings.
While the Organizer will implement reasonable safety measures per applicable public health guidelines, attendees understand that it is not possible to eliminate all risk of exposure or harm.
Health and Safety Compliance
Attendees agree to comply with all health and safety protocols in place during the Conference, including but not limited to:
- Adhering to mask mandates, social distancing requirements, or hygiene practices as directed by the Organizers or venue staff.
- Cooperating with any onsite health screenings or other preventive measures.
- Refraining from attending the event if experiencing symptoms of illness or after known exposure to a contagious disease.
Non-compliance with health and safety protocols may result in removal from the Conference at the Organizers’ sole discretion, without refund.
COVID-19 Acknowledgment
Attendees acknowledge the contagious nature of COVID-19 and voluntarily assume the risk of potential exposure during the Conference. This includes understanding that such exposure may result in illness, personal injury, long-term health complications, or death.
Attendees further agree not to hold the Organizers liable for any illness or injury arising from or in connection with attendance at the Conference, including but not limited to COVID-19 infection.
Release of Liability
In consideration of being permitted to participate in the Conference, attendees agree to release, waive, and hold harmless the Organizers from and against any and all claims, liabilities, losses, damages, expenses, or causes of action—whether known or unknown—arising out of or related to participation in the Conference. This release includes, without limitation, claims arising from negligence, gross negligence, or willful misconduct of the Organizers.
This waiver and release are binding upon the attendee, their heirs, executors, administrators, successors, and assigns.
Limitation of Liability
To the fullest extent permitted by law, the Organizers shall not be liable for any:
- Indirect, incidental, special, consequential, or punitive damages.
- Loss, theft, or damage to personal property or equipment.
- Disruption, cancellation, or modification of the Conference due to causes beyond the Organizers’ control.
Personal Responsibility
Attendees are solely responsible for their well-being, health-related decisions, and compliance with all applicable laws, regulations, and event guidelines. Attendees agree to monitor their health before and during the Conference and act responsibly to protect themselves and and others.
